Description: Position Title Meeting Planner Business Division Research Institute Country U.S.A. Location NJ Kenilworth Job Description The Clinical Operations Meeting Planner is responsible for the support of all the Clinical Research Investigator and Advisory Board Meetings. This position works closely with the clinical team to manage and plan U.S. and International investigator meetings. This includes negotiating hotel rates, reviewing contracts, planning audience development programs, advising on critical meeting parameters (selection of venue, air/F&B, key SP participants, spend levels, logistics for key Opinion Leaders, audio visual needs, timing, etc.), assuring compliance prerequisites are met, managing sourcing vendors, selecting and managing a preferred vendor best able to fulfill meeting needs, and managing the meeting budget. Handles logistics and on-sitecomplianceneeds for the meetings. Provides on-site contact and serve as direct liaison with hotel for executing all meeting and reception details. Coordinates and follows-up for with the targeted invitation process and manages participants meeting registrations. Coordinates air travel arrangements between participants and designated travel booking agents. Coordinates the hotel accommodations (arrival/ departures, hospitality/suites, monitor room block, rooming lists and attrition) and the conference space/details (breakout rooms and/or off-site training facilities) for all meeting functions. Plans the specific details of the meeting including: banquet event orders (menus, flowers, linen, food guarantees and all other food & beverage requirements), meeting room layout, audio visual requirements, signage, entertainment, recreational activities, room amenities/gifts, and on-site office/control center. Additional responsibilities include: Initiates grants and prepares meeting budget for meetings planned and managed Reconciles and signs-off Investigator meeting files, according to department SOP’s Updates and reconciles budget template Analyzes Investigator meeting contracts and payments and follow-up with Research Finance Processes contracts, invoices and investigators meeting-related charges via the Grant Management System (GMS) Amends vendor contract as needed Maintains reports on upcoming meeting, saving, and total spend to-date on meetings Minimal education required for this job Bachelors Degree -- Any Skills . College degree or High School Diploma with 1-2 years of industry experience . Highly motivated, organized and capable individual of functioning within minimal direction and a readiness to assume responsibility. . Strong excel and word skills preferred . Outstanding organizational and communication skills . Ability to travel approx. 30 % of the time . Ability to maintain flexibility and teamwork in a fast-paced, constantly changing, and demanding work environment, with both late night and weekend work required. . Ability to handle workplace stress under pressure . Ability to manage multiple tasks simultaneously .
